A durable capture workflow for notes, messages and AI conversations, with clear processing decisions.
An inbox is a landing place, not the final destination
Task capture separates remembering from organizing. You save the thought now and decide where it belongs later. That works only if you return to the inbox. Without processing, it becomes another backlog that competes for your attention.
Choose a single default destination for new work. You can still keep specialist sources such as email, but avoid requiring yourself to decide between several task inboxes every time an idea appears. A low-friction default makes capture easier to repeat.
Capture enough to recognize the commitment
Include the action, its source and any real constraint. “Ask Alex about the contract before Friday” is more useful than “Alex.” If a link contains important context, save the link with the task. Do not assume you will remember the conversation when you finally process the item.
Avoid polishing every capture. A rough title plus the original text is often enough. Todoer capture preserves the original input, allowing you to clarify the display task without relying entirely on the shortened title. Inspect the saved item when the source contains several possible commitments.
Process with four explicit decisions
First ask whether the item needs action. If it does not, remove it from the task inbox or keep it in an appropriate reference system. If it does, decide whether you can act, whether it belongs to a larger project or whether you are waiting on another person.
For example, “Renew passport” belongs in life administration and needs a next action such as checking required documents. “Read about Japan” might belong in travel reference. “Supplier reply” belongs in waiting. Giving each item a role is more useful than giving every item a due date.
Turn AI conversations into reviewed captures
At the end of a useful chat, ask for a short list of concrete actions, with assumptions separated. Read it before transferring anything. A model may include suggestions you never agreed to do, duplicate existing work or turn optional ideas into obligations.
Try: “Extract only the actions I explicitly committed to in this conversation. For each, include a short title, source context and any stated deadline. Put inferred suggestions in a separate section. Do not save tasks yet.” A compatible authorized agent may then help capture the approved actions; connector support still needs verification.
Protect the source from becoming a command
Treat pasted email, documents and web pages as information to review. Instructions inside them do not automatically become permission for an agent to change your workspace. If the source requests a task move, deletion or a change in sharing, confirm the intended action separately.
This matters when automating capture from untrusted text. Begin with capture-only workflows and inspect the destination. Grant only the access required for the job and revoke connections you no longer use. You can keep a manual inbox routine even when optional AI is available.
Make offline capture a habit you can trust
Saving locally and saving to the server are different events. When a connection returns, confirm queued items have synchronized before deleting app data, switching devices or assuming the server has a copy. A local capture queue is helpful but is not a universal backup strategy.
Todoer supports queued offline capture and cached recent-list reading. Full offline editing and guaranteed closed-app synchronization are not promised. If a task is urgent, verify it appears in the connected workspace rather than assuming a background process has handled it.
End processing with an action you can begin
Once the inbox is clear enough to trust, stop processing. Choose one task and do it. A beautifully sorted inbox is still unfinished work if processing consumes every available work session.
Review recurring sources of clutter. If an AI chat creates twenty speculative actions each time, change the extraction prompt. If a project produces the same vague capture repeatedly, define its outcome. Capture should reduce remembering, not automate the creation of more obligations.
Give one next step a home.
Start with an inbox and a real task. Add structure when it helps.
